Handover Day Checklist: Documents to Collect From Your Contractor
Handover day feels like the finish line. The paint is dry, the keys are in your hand, and after months of site visits you finally want to move in. But for most families who hire contractors in Mysuru, handover is also the last day they have real leverage. Once the final payment clears and the contractor’s team packs up, chasing a missing drawing or a warranty letter becomes far harder than it should be.
The fix is simple. Treat handover as a documented transaction, not a celebration. Walk in with a checklist, collect every paper the contractor owes you, and sign the completion certificate only when the file is complete. This article lists exactly what belongs in that file, why each document matters later, and how a professional handover works when the process is set up properly from day one.
One point before the list. The quality of your handover is decided when you sign the agreement, not on the last day. A contract that names the documents to be handed over at completion gives you something to point to. If you are still comparing builders, our guides on choosing contractors in Mysuru cover what that agreement should contain.
Approvals and statutory papers
These are the documents that prove your building exists legally. Banks ask for them at resale or top-up loan stage, and buyers’ lawyers ask for them the day you decide to sell.
- Sanctioned plan copy. The plan approved by the local authority, with the approval stamp and number. Check that what was built matches what was sanctioned.
- Khata and licence papers. Any khata transfer or building licence documents processed during the project should come back to you in original.
- Completion or occupancy documentation. Whatever the local authority issues for your property type, along with copies of the applications filed.
- Utility connection papers. Power sanction letter and meter details, water connection documents, and sewage connection approval. These carry your name and property details and are painful to reconstruct later.
- Receipts for statutory fees. Every fee paid to a government office should have a receipt in your file, whoever physically stood in the queue.
At Uniq Builders, government approvals are part of every package: plan sanction, khata and licences, and power, water and sewage connections are handled by the company, with statutory fees paid directly by the client, so the fee receipts belong in your file.
Drawings, specifications and the money trail
The second bundle is technical and commercial. It is what you will reach for during any future renovation, dispute or insurance claim.
- Final working drawings. The as-built set for all floors, not the early concept sketches. If anything changed during construction, the drawings should reflect it.
- Structural design and soil test report. Essential if you ever add a floor. A structural engineer cannot certify an extension without knowing what the foundation was designed for.
- The written specification. The brand-and-grade list the contract was priced on: steel, cement, wiring, plumbing, tiles, fittings. This is your proof of what was promised versus what was installed.
- Electrical and plumbing layouts. Concealed conduit and pipe routes. Without these, the first person to drill into a wall is guessing.
- Final account statement. Every payment you made, every approved variation, and the closing balance, signed by both sides. This is the document that formally closes the commercial relationship.
- Extra-work quotations and approvals. Site conditions such as rock excavation, additional foundation depth or imported filling earth are normally quoted separately after a site visit. Keep those quotations and your written approvals together with the final account, so nothing on the last bill is a surprise.
A note on rates: packages like ours start from a published per-square-foot figure, for example ₹1,999 per sq ft for Premium (terms and conditions apply), and the final figure is confirmed after a free site visit. Whatever your contractor’s pricing model, the handover file should let you trace the journey from quoted rate to final bill without a single unexplained entry. The Uniq Builders packages page shows how each tier is scoped in writing.
Warranties, guarantees and after-service terms
This bundle protects you after the contractor leaves.
- Workmanship warranty letter. In writing, on letterhead, stating what is covered, for how long, and whom to contact. Every Uniq Builders package includes a workmanship warranty and one year of free service after handover.
- Manufacturer warranty cards. Water pumps, geysers, sanitaryware, modular fittings, paint systems. Collect the cards and purchase invoices, since manufacturers honour warranties against invoices, not memories.
- A defects list with dates. Walk the building together, note every touch-up item, and agree a completion date for each in writing. A verbal “we will send someone” has no expiry date and therefore never expires in your favour.
- Service contact. A named phone number or email for warranty calls, not just the site engineer’s personal mobile.
If your project included interiors, ask for care instructions for laminates, stone and finishes too. Teams that build residential construction and interiors under one roof can hand over one consolidated file instead of sending you to three vendors.
How to run the handover meeting
Book a proper sitting, not a key exchange at the gate. Bring this article’s checklist printed, tick documents off as they cross the table, and note anything pending with a named person and a date. Photograph meter readings together. Only then sign the completion certificate and release the final payment, keeping any agreed retention against the defects list.
If the contractor cannot produce a document, do not accept “it is with the office” without a written commitment. A firm that delivers architecture, structure and construction with its own engineers, architects and surveyors should be able to assemble the full set, because the drawings and approvals passed through its own hands.

Frequently asked questions
Can I refuse the final payment until documents are handed over?
Your contract governs this, which is why the document list should be written into the agreement itself. In practice, a reasonable contractor expects to exchange the completion file against the final payment at the same sitting. Raise the list well before the last bill so nothing stalls on handover day.
What if I lost documents from a house built years ago?
Start with the local authority, since sanctioned plans and khata records can usually be traced with your property details. Utility offices can reissue connection papers in most cases. If you are planning renovation work on an older house, we take up renovations and interiors for existing homes, and can advise on which documents genuinely matter for the work.
Do I need the soil test report if I never plan to extend?
Keep it anyway. Plans change, buyers ask, and a future structural assessment after decades of use will start from that report. It costs nothing to file and is one of the hardest documents to recreate once the original team has moved on.
